Committee job descriptions

A.0 General Rules

A.1 All members of the Branch Committee are expected to attend the committee meetings arranged by the Branch Secretary.

B.0 Chairperson Job Description

B.1 Is a member of the branch committee.
B.2 To ensure that regular branch committee meetings are held at a set time each year.
B.3 Provides leadership to the branch committee, who sets policy.
B.4 Chairs meetings of the branch committee after developing the agenda with the secretary and Vice Chairperson. B.5 Helps guide and mediate branch committee actions with respect to priorities and governance concerns.
B.6 Monitors financial planning and financial reports.
B.7 Plays a leading role in fundraising activities.
B.8 Evaluates annually the performance of the branch in achieving its mission.
B.9 Performs other responsibilities assigned by the branch committee.
B.10 Is a branch cheque signatory.
B.11 Is responsible for thanking speakers and visitors and sending follow-up thankyou letters.

C.0 Vice Chairperson Job Description

This position in typically successor to the Chairperson position. In addition to the responsibilities outlined in the Committee Member job description, this position:
C.1 Is a member of the branch committee.
C.2 Performs chairpersons' responsibilities when the chairperson cannot be available (see Chairperson Job Description). C.3 Reports to the branch committee's Chairperson.
C.4 Works closely with the Chairperson and other staff.
C.5 Participates closely with the Chairperson to develop and implement officer transition plans.
C.6 Performs other responsibilities as assigned by the branch committee.
C.7 Is a branch cheque signatory.

D.0 Branch General Secretary Job Description

D.1 Is a member of the branch committee.
D.2 Maintains records of the branch committee and ensures effective management of organisation's records.
D.3 Manages minutes of branch committee meetings.
D.4 Ensures minutes are distributed to committee members (and on branch website) shortly after each meeting.
D.5 Is sufficiently familiar with IQA (articles, by-laws, etc.) to note applicability during meetings.
D.6 Maintains the branch website.
D.7 Maintains the register of members' database.
D.8 Ensure all members are kept informed of branch events via email or post.
D.9 Arranges and hosts branch events.
D.10 Is a branch cheque signatory.

E.0 Treasurer Job Description

E.1 Is a member of the branch committee.
E.2 Manages finances of the organisation.
E.3 Administrates fiscal matters of the organisation.
E.4 Provides annual budget and accounts to the branch committee for members' approval, audit and is responsible for sending to IQA in February each year.
E.5 Ensures development and branch committee review of financial policies and procedures.
E.6 Is a branch cheque signatory.

F.0 Committee Member Job Description

F.1 Regularly attends branch committee meetings and important related meetings.
F.2 Makes serious commitment to participate actively in committee work.
F.3 Volunteers for and willingly accepts assignments and completes them thoroughly and on time.
F.4 Stays informed about committee matters, prepares themselves well for meetings, and reviews and comments on minutes and reports.
F.5 Gets to know other committee members and builds a collegial working relationship that contributes to consensus.
F.6 Is an active participant in the committee's annual evaluation and planning efforts.
